Responsibilities:

  • Serve as the first point of contact for the institute; handle all incoming phone calls, faxes, and emails.
  • Manage the Vagaro or internal scheduling systems, ensuring training sessions, camps, and clinics are accurately booked and staff calendars are updated.
  • Process and file client waivers, registration forms, and referral logs to ensure records are current and compliant.
  • Draft and send communications to clients, physician offices, and coaches as directed by the Director.
  • Collect payments for training sessions and programs; ensure all transactions are recorded accurately in the billing system.
  • Assist in the maintenance of weekly spreadsheets by entering data regarding new leads, attendance, and revenue.
  • Provide detailed information to prospective clients about OAI programs and services.
  • Assist in “Reactivation” efforts by reaching out to past clients via text or phone to encourage re-enrollment.
  • Ensure every athlete and parent receives a professional, welcoming experience from the moment they enter the facility.
