Qualifications:
- High School Diploma required.
- 1-2 years of experience working in an office setting preferred.
Skills:
- Proficiency in office software (Word, Excel, and scheduling platforms).
- Strong verbal and written communication skills.
- High attention to detail and ability to multi-task in a fast-paced sports environment.
- A professional demeanor and a passion for assisting in athlete development.
Responsibilities:
- Serve as the first point of contact for the institute; handle all incoming phone calls, faxes, and emails.
- Manage the Vagaro or internal scheduling systems, ensuring training sessions, camps, and clinics are accurately booked and staff calendars are updated.
- Process and file client waivers, registration forms, and referral logs to ensure records are current and compliant.
- Draft and send communications to clients, physician offices, and coaches as directed by the Director.
- Collect payments for training sessions and programs; ensure all transactions are recorded accurately in the billing system.
- Assist in the maintenance of weekly spreadsheets by entering data regarding new leads, attendance, and revenue.
- Provide detailed information to prospective clients about OAI programs and services.
- Assist in “Reactivation” efforts by reaching out to past clients via text or phone to encourage re-enrollment.
- Ensure every athlete and parent receives a professional, welcoming experience from the moment they enter the facility.
